Thursday 23rd and Friday 24th October 2025

The #SaferToBeMe Summit is one of the few truly global-level LGBTQ+ human rights events to take place in the UK this year. With an estimated 500 people coming to our two-day #SaferToBeMe conference part of the Summit, and many hundreds more as we beam it out to the world, the conference is a place to be seen.

Whether you have your own business selling goods, are a large corporate, a recruiter, or want to showcase your charitable services, this is an unprecedented opportunity to showcase your organisation and network at cost-effective rates. We have space for 30 stalls at the two-day event.

What do I need to know when booking a stall?

Where is the venue?

The venue is Gateshead Colleges' Academy for Sport next to Gateshead International Arena on the south bank of the River Tyne. 
 

Your stall will be located in the heart of the proceedings in the main hall which gathers people together throughout the day, including during the keynote speeches and plenary talks. People will also be using this room as their space for breaks. It is an ideal location at the conference to maximise your reach (please note that talks in this space will also be happening throughout the day). You can find out more about the venue here.

There is parking on site for up to 75 cars on a first come, first served basis. The venue is a 10 minute walk from the nearest Metro stop, Gateshead Stadium.

What do I get on both days of the conference?

The specification includes a table (130cm long and 65cm wide) and two chairs. It is up to you to furnish the table with your own tablecloths, branding, banners, flags, pull up signs, or whatever else you wish to bring to make an impact.

 

We strongly recommend hosting some engaging activities for your stall, but a good old fashioned flyer and a friendly face works wonders. It is not permitted to hang anything from the ceiling, but you can place a larger floor standing banner behind your stall.

 

Electrical plug sockets are available in certain places, but please let us know on our booking form if you require this. If you want to bring electrical items such as a television screen for your stall, they must be PAT tested and we must have evidence of this emailed to us as soon as possible (failure to provide this will mean that they cannot be used on your stall on the two days of the conference). This does not apply to personal items such as mobile phones and iPads, etc.

What time do I need to be there and when do I leave?

The conference starts at 9am on both days (with registration from 8-9am). We strongly recommend that you arrive at the hall during registration, you cannot arrive earlier. We have the space on Wednesday 22nd October for stalls to set up before the conference starts on the following day - we will email you details about set-up times closer to the day.

After the first day, you can leave your stall and non-valuables overnight so it is ready for day two. The conference will be finishing at approximately 5pm on both days and after it completes on Friday, you will need tidy up and pack away items by the close of the conference.

Can I sell gifts or goods at my stall?

Yes, with some restrictions. You can sell gifts such as artwork, arts and crafts, greetings cards, books, zines, and so on. You can give sealed sweets and merchandise as you would at any conference, for free. You cannot sell wet items such as food or drink, and that means strictly no home cooked goods due to health and safety precautions; no gambling equipment, tobacco, alcohol, or goods prohibited or restricted for minors. The premises belongs to a college so please be mindful of the standards. 

Can I fundraise for my charity at my stall?

We would prefer that you fundraised for the voluntary groups organising the event: ReportOUT, Pride Action North, or OUT North East. However, if you are a charity or community group, then you are welcome to sign people up for online donations.

Community Groups, Charities and Non-profit Enterprises

Charities, community groups and non-profits can have a stall at #SaferToBeMe for £100 for both days. This will include a table and two chairs.

Micro or Small Business

If you have fewer than 50 employees, you can have a stall at #SaferToBeMe for £150 for both days. This will include a table and two chairs.

Government or Public Services 

If you are a local or central government agency or public statutory service (this includes armed forces and health services), then you can have a stall at #SaferToBeMe for £200 for both days. This will include a table and two chairs.

Medium to Large Business

If you are a medium or large business of 51 employees or more, you can have a a stall at #SaferToBeMe for £250 for both days. This will include a table and two chairs.
